Sample Tracking

Managing the lifecycle of samples, from logging and tracking to disposal. It includes features for barcode generation, labeling, and tracking the movement and storage of samples within the lab. Automates lab processes to increase efficiency and reduce errors. Maintaining a chain of custody is essential in environmental testing to ensure that samples are not tampered with or mishandled. LIMS automatically records every interaction with the sample, including who accessed it and when, thus providing a transparent audit trail.

Sample Collection and Registration

When scientists collect samples like water, soil, or air, they enter all the important details into the LIMS. This includes where and when the sample was collected, what it's for, and any chemicals they added to keep the sample safe until testing. They may keep a water on ice, in a cooler, and record the temperature upon lab entry.

Barcode Labeling
and Tracking

Every sample gets a barcode, and a unique Sample ID. This helps the lab keep track of where each sample is in the lab process, and what happens to it. It makes sure nothing gets lost or mixed up.

Preservatives and
Hold Times

The LIMS records what preservatives were added to each sample. Preservatives are special chemicals that stop the samples from going bad before they can be tested. The system also keeps track of how long we can hold onto a sample before it must be tested to make sure the results are still good.

Chain of
Custody

This feature is like a detailed logbook. It records every person who has handled or looked at the sample. This is very important for keeping the testing process honest and accurate.

Storage and
Incubation

Some samples need to be kept in special conditions, like at a certain temperature or humidity, to keep them just right for testing. The LIMS monitors these conditions to make sure they are always perfect. It also manages any warming-up procedures needed before testing some samples, ensuring they're ready for accurate results.

Sample Batch
and Pre-Warming

The LIMS helps organize samples into groups so they can be tested together, which makes the testing faster and more efficient. It also prepares the samples by warming them up if needed, according to the type of test they will undergo.

Analytical Method
Selection

The system or lab technician determines the right testing methods for each sample based on what the sample is and what needs to be tested. This ensures that the testing is done correctly and follows all the rules. Depending on the analyte, method and availability, the LIMS may be linked directly to lab instruments, so it can get test results straight from the machines. This reduces mistakes and keeps the data accurate and consistent.

Reporting and
Audits

The system can create detailed reports on everything that happens to each sample. These reports are useful for checking that everything was done correctly and are important during audits when the lab needs to show that their processes are sound. Reports may be delivered to multiple stakeholders, including clients, counties and local agencies, EPA/DEP.

By using an environmental LIMS, labs can work more efficiently and make fewer mistakes. It helps keep everything organized and ensures that all tests are done properly and safely. This is really important in making sure that the environment is protected and that we have accurate information about it.
